Privacy Policy
Last updated: October 20, 2026
This policy explains what information Westchester Clubhouse for the Arts, Inc. (“WCA,” “we,” “us”) collects through westchesterclubhouse.org, how we use it, and the choices you have. We keep it short and in plain language. If you have questions, email us at [email protected].
The short version
- We only collect what you choose to send us, plus the basic technical information every website receives.
- Messages from our contact form are emailed to us. They are not saved on the website.
- We do not sell, rent, or trade your information.
- We do not use advertising trackers or analytics on this site.
- You can ask us to delete your information at any time.
Information you give us
When you use our contact form, we collect:
- Your first and last name
- Your email address
- Your phone number, if you choose to add it
- What you are interested in (for example, membership or volunteering)
- Your message
Please do not include medical or health information in the form. If you are interested in membership, we will follow up with you directly about next steps.
If you email us directly, we receive whatever you include in your email.
Membership applications
Our online membership application is hosted by a third-party form and database service, not on this website. It asks for more detail than the contact form, including health information we need to review your application. We use what you submit only to review your application and to support you if you become a member. You can ask us to correct or delete your application at any time.
How we use your information
We use the information you send us only to:
- Reply to your message
- Follow up about membership, volunteering, staff positions, donations, or partnerships you asked about
- Keep a record of our conversations with you
We do not add you to a mailing list unless you ask us to.
Where your information goes
Contact form messages are sent by email to our organization inbox, using an email delivery service to make sure they arrive reliably. Messages are not stored in our website database.
We share information with these service providers only so they can do their job for us:
- A web hosting provider that runs our website
- A network service that helps deliver the website quickly and protect it from attacks
- An email delivery service that sends contact form messages to our inbox
- Our email provider, which hosts our organization inbox
- A security service that protects the website from hacking attempts
We may also share information if the law requires it, or to protect the safety of our members, staff, or website.
Donations
Donations are processed by Zeffy, an outside donation platform. When you donate, you give your payment and contact details to Zeffy, not to our website. Zeffy shares your donation details with us, such as your name, email, and donation amount, so we can thank you and keep accurate records. Zeffy sends your tax receipt. Please see how Zeffy handles donor information.
Information collected automatically
Like nearly every website, our site and its service providers automatically receive some technical information when you visit, such as your IP address, browser type, and the pages you view. Our hosting, network, and security providers use this information to keep the site running and secure, for example to block spam and attacks. We do not use it to identify you or to advertise to you.
Cookies
We do not use advertising or analytics cookies. Our network provider may set a small cookie that helps tell real visitors apart from automated bots. Site administrators who log in also receive login cookies. Most browsers let you block or delete cookies in their settings.
Links to other websites
Our site links to other websites, such as Instagram, Facebook, Fountain House, and Zeffy. Those sites have their own privacy policies, and we are not responsible for how they handle your information.
How long we keep information
We keep emails, including contact form messages, only as long as we need them to respond to you and keep reasonable records. Website backups are kept for a limited time and then deleted automatically.
Your choices
You can ask us to show you, correct, or delete the information we have about you. Email [email protected] and we will respond as soon as we can.
Children
This website is meant for adults. Clubhouse membership is open to people 18 and older. We do not knowingly collect information from children under 13. If you believe a child has sent us information, please contact us and we will delete it.
Keeping information safe
We use reasonable safeguards to protect information, including an encrypted (HTTPS) website, security monitoring, and limited access to our inbox. No website or email system is completely secure, so please do not send sensitive personal or health information through the site.
Changes to this policy
If we change this policy, we will update it on this page and change the date at the top.
